Privacy & GPS notice

Renting a car means trusting us with sensitive information. Here's exactly what we collect, why, and how it's protected — in plain English.

Pre-launch note:this policy is the working template for a privacy adviser's review against the Australian Privacy Principles before launch.

What we collect

  • Contact and identity details (name, email, phone, date of birth)
  • Driver licence details, verified at pickup
  • Payment via our PCI-compliant payment provider — we never store full card numbers
  • Booking, inspection and support history (including photos of the vehicle)
  • Vehicle location and trip data from GPS telematics (see the notice below)

Why we collect it

To operate your rental (booking, agreement, payment, bond), keep the fleet safe and roadworthy, meet legal obligations (toll and infringement nomination, insurance, tax), recover vehicles that aren't returned, and resolve disputes fairly with evidence. We don't sell your data or use it for third-party advertising.

Vehicle GPS tracking notice

  • Every rental vehicle carries a GPS telematics device. It records location, ignition state, odometer and battery health.
  • We use it for: theft recovery, overdue-return follow-up, kilometre reconciliation, service scheduling and roadside assistance.
  • Live location is restricted to authorised staff, only for the purposes above — and every access is audit-logged.
  • We don't watch customers drive, and we never share location history except as required by law, our insurer, or to recover a vehicle.
  • Trip history is retained only as long as needed for billing, disputes and legal obligations, then deleted on schedule.

How it's protected

Encrypted in transit and at rest, role-based staff access, audit trails on sensitive actions, and licence images deleted on a strict schedule after verification. Payment card data lives with our payment provider, not us.

Your rights

Ask us anytime to access or correct your information, or to delete what we're not legally required to keep. Email hello@wheelsworthrentals.com.au with the subject "Privacy request" and we respond within 30 days. If you're not satisfied, you can contact the Office of the Australian Information Commissioner (oaic.gov.au).
